Guest privacy
Privacy Policy
Last updated October 3, 2026
This policy explains how Mitchell KOA collects and uses guest information through NightCheck. Mitchell KOA is your primary contact for questions or requests about that information. NightCheck provides the registration platform and supporting services used by the campground.
Information you provide
When you register, we may collect your name, postal address, phone number, email address, stay dates, equipment details, party size, pet information, rewards information, site preferences, and pricing or discount information. We also retain reservation details, communications preferences, and records needed to provide your stay.
Unfinished registrations
If you actively enter a valid phone number or email address but leave before finishing, the campground may save the information entered so staff can contact you about completing that registration. Authorized staff may add an internal comment about the follow-up attempt or outcome; that comment is retained and deleted with the draft. These drafts may be retained for up to 365 days after the latest saved activity and can be deleted sooner by authorized staff. They are intended for registration follow-up, not unrelated marketing. An unfinished registration does not reserve a site, take payment, or lock availability or pricing.
If you submit registration details but do not complete payment, the campground may see your unpaid checkout attempt while its short site hold is active and follow up after the hold ends or you discard checkout. Staff may record follow-up comments or outcomes. The follow-up display and comments expire after up to 365 days, but the underlying attempted reservation and payment history may be retained for campground operations as described below. An unpaid attempt is not a confirmed booking; its temporary hold does not continue after expiry or discard.
Payments
Card entry and payment processing are handled through Stripe. NightCheck does not store your full card number or security code. It stores payment status, amounts, transaction identifiers, receipt information, and limited card details such as brand and last four digits. Stripe may create or update a customer record using your contact and billing information and may return a payment-method identifier for authorized reservation adjustments or purchases you request from the campground.
Address and communication services
Address suggestions and validation may send the address information you enter to Google. Confirmation, receipt, payment-link, arrival, and other operational emails may be delivered through Resend or an email provider selected by the campground. Those providers process the information needed to perform their services under their own privacy terms.
Cookies and usage information
NightCheck uses first-party cookies to connect activity during a visit and recognize a returning browser. The visit cookie lasts about 30 minutes, and the returning-browser cookie may last up to 365 days. Usage records can include pages and registration stages viewed, outcomes, referral and campaign information, general device, browser, and operating-system categories, and timing information. A completed journey may be associated with its reservation. NightCheck does not place guest form values such as names, addresses, phone numbers, or email addresses in its guest-traffic analytics records.
The site also uses Vercel Analytics and Speed Insights for performance and usage measurement. Hosting, security, and operational logs may include technical information such as an IP address, user-agent string, request time, and requested route. IP-derived identifiers may also be used to limit abusive unfinished-registration requests.
How information is used
Information is used to provide registration, reservations, site assignment, payment, receipts, arrival information, and campground support; to follow up on unfinished registrations; to secure the service and prevent abuse; to troubleshoot and improve guest flows; and to maintain business, accounting, dispute, and legal records.
How information is shared
Information may be available to authorized campground staff and authorized NightCheck support personnel as needed to operate and support the service. It is also provided to service providers that perform payment processing, address lookup, email delivery, hosting, analytics, and infrastructure services. Authorized campground staff may export reservation or report information; downloaded files are then controlled by the campground.
Retention
Unfinished-registration retention is described above. Detailed guest-traffic sessions and events are generally retained for about 180 days, while privacy-reduced aggregate counts may be kept without a fixed expiration. Reservation, payment, refund, email, audit, and operational records are retained as needed for campground operations, accounting, disputes, security, and legal obligations; NightCheck does not currently apply one universal deletion period to those records. Stripe, Google, email, hosting, downloaded exports, logs, and backups may retain information under separate policies and schedules.
Access, correction, and deletion requests
Contact Mitchell KOA to ask about access to, correction of, or deletion of your information. Some information may need to be retained for completed transactions, financial records, security, disputes, or legal obligations. Deletion from NightCheck-controlled records may not immediately remove copies already held by payment providers, email providers, downloaded exports, logs, or unexpired backups.
Children's information
The registration form asks for the number of children in the camping party to calculate occupancy and pricing. It does not ask for children's names, contact details, or ages. An adult should complete the registration.
Security
NightCheck and the campground use administrative and technical safeguards intended to protect guest information, including scoped staff access and token-protected guest links. No internet service or storage system can guarantee absolute security.
Changes to this policy
This policy may be updated as campground practices, NightCheck features, or service providers change. The date near the top shows when the policy was last updated.
